Email Migration: what to expect on May 2nd

The change that we’re making to district email on May 2nd at 5:00 PM is to finalize the transition to Gmail by routing all messages to Gmail, and ending message delivery and sending from Exchange. The Exchange server will still be up and running, and you’ll still have access to any emails or other information that you have on the server or within Outlook.  The only thing that you won’t be able to do is receive new emails via Exchange, or send emails from Exchange. 

What’s the least I can do?

At the most basic level, a staff member can simply begin accessing Gmail – available at opens in a new windowhttps://mail.google.com/a/iowacityschools.org – as of 5 PM on May 2nd.  

Your username will be your full email address, like: kurth.adam@iowacityschools.org
Your password will be the same password you use to log in to district computers.  

The district will migrate your most recent messages and calendar information for you, and those will appear in your Gmail inbox.  Please note that there may be a short delay in the messages from the last 5 days appearing in your Gmail mailbox; this delay should be limited to 24 hours at the most, and those messages can still be viewed using Exchange (via Outlook).

The Exchange server will still be available

We will not be removing access to the Exchange server anytime soon; our target is October, 2017.  While new email will not be delivered to the Exchange server, you’ll still be able to access it via Outlook or the web interface, and you have until fall to run the migration tool (below) to copy old messages. 

What if I want to migrate older messages? 

The district will migrate the most recent 180 days of email.  Don’t worry if those messages are not in your inbox the first day you log in to Gmail; the migration process will take up to several days to migrate all mailboxes in the district.

What if I want to keep using Outlook?

Google is compatible with Microsoft Outlook, and you can configure Outlook to access your Google email.
